Manage Sampling in a Separate Season - Tracking your samples in Zedonk (Inventory)

You may want to track samples sent out to trade shows and for press/marketing activity.

If you have inventory, it is essential to separate the sampling season from the production season to ensure you have an accurate product stock and raw material stock for your raw material sampling orders before you start bulk production.

For Trade Show Samples
  1. Create Products - you can make these visible in the production season - read this
  2. Raise a Production Order for samples and Book Production In.
  3. Create a Customer record and name it, for example, SAMPLE SALES
  4. Raise a Sales Order or Consignment Order (if you want to retain the ownership of the sample) for each collection i.e. by an agent or by the show.
  5. Add the agent/show details in the ORDER REF field and update the delivery address in the Sales Order.
  6. Raise Delivery Note to deduct your inventory (if you choose Consignment Order, the stock will display in the Consignment column in the Products Stock Inventory module).
  7. Raise Return Authorisation when returning to studio and populate the 'Received Quantities and Back to Stock' in Return Authorisation as applicable.
For Press Activity Samples
  1. Create Products - you can make these visible in the production season - read this
  2. Raise a Production Order for samples and Book Production In. If samples have already been booked in, reference your Available to Sell (ATS) figures in the Products Stock Inventory module to ensure you have samples in your studio.
  3. Create a Customer record and name it, for example, PRESS.
  4. Raise a regular Sales Order or Consignment Order (if you want to retain the ownership of the sample).
  5. Add the press/PR details in the ORDER REF field and update the delivery address in the Sales Order.
  6. Raise Delivery Note to deduct your inventory (if you choose Consignment Order, the stock will display in the Consignment column in the Products Stock Inventory module).
  7. Raise Return Authorisation when returning to studio and populate the 'Received Quantities and Back to Stock' in Return Authorisation as applicable.
