Step 6: Manage and monitor your Production

Now that you have entered/imported sales orders and your Manufacturers have all the required raw materials, you can proceed with creating Production Orders. Zedonk can automatically calculate the required production units to fulfil all your open sales orders in the season. This can be done with the Production Analysis module. 

Alternatively, you can create a Production Order directly in the Production Book Out/In module. This is particularly useful when you need to create an inventory that is not linked to your open sales orders, for example, for your e-commerce stock. Note that when creating a Production Order directly in the Production Book Out/In module, you will be asked to enter the quantities, so a better solution is to enter your internal buy for stock as an internal sales order and use the Production Analysis to calculate the required quantities across all your open sales orders in the season. 

We will guide you through both options in this article.

Create a Production Order using the Production Analysis module

The Production Analysis module displays a breakdown of all products and sizes for all approved sales orders in the season you are working in. You can use it to preview and create Production Orders for a selection of products, customers and sales orders. 

Use the Select/Move/Filter tool to filter through and select only one manufacturer at a time (you will create one Production Order per manufacturer at a time). The Docket Tracking area in the top right corner lets you focus only on outstanding orders (not on a production order yet).

Create your Production Order by selecting the lines/records, then click on the 'Production Order' button, then 'Create Production Order':

You will be taken to the Production Book Out/In module to enter all the Production Order details. You must specify the quantities in the Products tab. If you want to match the quantities on the sales orders that you have just selected, click on the 'Auto-fill' button to automatically populate the quantities in the Linked SO (Linked Sales Orders) fields in the Prod. Qty (Production Quantity) fields.

Save your changes and notice that a new Production Order has been created in the Production Book Out/Book In module.

You can navigate back to the Production Analysis module. Note that the selected lines/records have changed the Docket Tracking status from 'Outstanding' to 'Work in Progress' and display the Production Order number. You can continue working through the 'Outstanding' lines/records.

Should any changes be made to the sales order quantities or should any new sales orders be added to the season you are working in, you can adjust the existing production orders, if your Manufacturer agrees to the changes:

Create a Production Order using the Production Book Out/Book In module

If you need to create a Production Order that is not linked to any of your sales orders, you can create it directly in the Production Book Out/Book In module:

Note that if you mistakenly create a Production Order in the Production Book Out/Book In module but want to link it to sales orders, you can do it by following the steps outlined in the article below:

When you create a Production Order directly in the Production Book Out/Book In module, you must specify the products and quantities in the Products tab.

After you create your Production Orders you can email the documents to your Manufacturer directly from Zedonk. Ensure you have the email address for your Manufacturer contact entered in Zedonk and that you have email templates for Production Orders set up in your System Settings before you use the email feature:

  1. Manufacturers - Add New Manufacturer (Contact Email)
  2. General Settings - Email Templates (Products Production Order)
  3. Book Out - Email Docket to Manufacturer

If you prefer to download the Purchase Order document and print it out or email it using your e-mail client, you can export it in a PDF format:

Mark your Products as 'Booked In' when you receive them

As you start receiving goods from your Manufacturer, you must mark them as 'Booked In' on the Production Order.

(Optional) Notify Zedonk that the goods are in transit:

Notify Zedonk when goods are received by creating a book-in:

If you have created an in-transit, you can convert it to a book-in when goods are received:

If you have been short-shipped from your Manufacturer and you will not receive any further stock, you can mark the Production Order as force-closed. You can do this product line by line or for the whole order at once:
